Wirehouse details AI use and client data safeguards

·1 min read

Wirehouse Employer Services uses AI to support risk assessments, legal and HR advice, document reviews, sales administration and personalised product recommendations. Its policy requires qualified staff to review AI-led output before it reaches clients and rules out solely automated decisions with legal or similarly significant effects on individuals. Some tools are supplied through its parent company, WorkNest.

SafetyNest generates draft workplace risk assessments but leaves severity and likelihood ratings blank for a competent person to complete. CaseNest tools summarise cases, classify emails and draft correspondence, while Lens checks documents against expert-maintained standards. Advisers remain responsible for final communications. Microsoft Teams meeting recordings require consent, while legal advice telephone calls are recorded as standard and transcribed using the OpenAI API.

Wirehouse relies primarily on legitimate interests for processing. It removes or replaces direct identifiers before AI case summarisation and uses combined service information, rather than detailed case content, to analyse trends. WorkNest also uses client engagement and case information for staff-reviewed product recommendations.

Data sent through the OpenAI API is not used to train or improve OpenAI models. OpenAI, Twilio and sales assistant Sybill process data in the United States, with contractual transfer safeguards described for each provider. Microsoft arrangements require personal data to remain in the United Kingdom. Sybill analyses communications and prospective clients’ written, verbal and visual cues to support sales coaching.
